Excel Pivot Table Add-In -- PivotPower Features

In Excel 2007 and Excel 2010, the PivotPower menu appears on the Ribbon's Add-ins tab.

March 8, 2011: For most commands, only the selected pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the active sheet will be affected by the command.

Grand Totals

Use these commands to hide or show the Row Grand Totals, Column Grand Totals, or both.

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected. 


Subtotals

Use these commands to hide or show the Row subtotals, Column subtotals, or both.

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected. 

Formatting

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected

Reset Captions

If captions have been changed from their original text, this command restores the original text.

Change (Blank) to Space

If pivot items appear with the text "(Blank)", this command changes the items to a space character.

Change (Blank) to Text

If pivot items appear with the text "(Blank)", this command prompts you to provide other text, e.g. "N/A".   

 

 

 

Pivot Items

Clear Old Items

The data in the pivot table source may change, and items that were previously in the source are no longer included. This command removes the old items from the pivot table.

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected

Show / Hide All Items

In versions previous to Excel 2002, where there is no Show All checkbox, you can use these commands to show or hide all items in a field. Select a cell in the pivot table, then choose the command -- you will be prompted to select a pivot field.

If a pivot table cell is selected, only that pivot table will be affected. A UserForm will appear, where you can select the pivot field for which you want to show/hide items.

If the active cell is not in a pivot table, the command will not work. 

 

 

 

Page Fields

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected (exception: Show Next Page Item command).

Show Next Page Item

If a Page field has a long list of items, this command may make it easier to select the next item.

If the active cell is not in a pivot table, the first pivot table in the active sheet will be affected.

Set Pages to (All)

Quickly reset all page fields, in all pivot tables on the active sheet, to (All).

Show /Hide All Page Field Items

To show or hide page field items, you can double-click on the page field button, and select items to show or hide. This command shows or hides all items in all page fields in the active pivot table. (Note: If Hide All is selected, the last item will remain visible.) 

 

 

 

Data Fields

When you add fields to the Data area, fields default to the Count function or the Sum function. These commands change all Data fields to the selected summary function.

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected. 

 

Select

Pivot Table

If there is one pivot table on the active sheet, it will be selected. If there are more than one, a UserForm appears, and you will be prompted to select a specific table.

Disable/Enable All Selection

Removes/restores the drop down lists from the pivot field buttons.

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected 

 

 

 

Restrict Features

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, all pivot tables on the sheet will be affected.

Restrict/Allow All Features

This command restricts/restores use of the following features:

  • Pivot Wizard
  • Drilldown
  • Field List
  • Field Dialog
  • Refresh
  • Field Dragging

 

 

 

Printing

If a pivot table cell is selected, only that pivot table will be affected. If the active cell is not in a pivot table, the first pivot table on the sheet will be affected.

Print Pivot Table

If there is one pivot table on the active sheet, it will be selected. If there are more than one, you will be prompted to select a specific table.

Then, you will be prompted to choose Print or Preview.

Print Each Page Field

If there is one pivot table on the active sheet, it will be selected. If there are more than one, you will be prompted to select a specific table.

Then, you will be prompted to choose Print or Preview.

The pivot table is then printed/previewed for each page field item. 

 

 

 

Information

Select a command, and a message displays the selected information.

  • If a pivot table cell is selected, information for that pivot table will be displayed.
  • For the 'Active Cell PivotTable' command, if a pivot table cell is not selected, a warning message will appear.
  • For the Pivot Cache Count command, a message box shows the count of pivot caches in the active workbook.
  • For the List Pivot Tables command, a new worksheet is added, with a list of pivot tables in the active workbook.
  • For the other Information commands, if the active cell is not in a pivot table, information will be displayed for each pivot table on the active sheet.
